The Asset and Inventory Logistics Administrator is responsible for following procurement procedures for assets, parts, equipment, services, and supplies, including general supplies, to support office and field operations. This role also maintains inventory tracking of assets and parts owned by both Envirosearch and Envirosearch Clients. The role is focused on improving efficiency for overall operations. Significant interaction with all departments within the Company should be expected.
This role is in-person, Monday through Friday, at the Guelph office. This position is being filled following a recent Team Member transition and reflects the continued growth and evolution of our Company.
What You Will Be Doing
- Follow procurement procedures based on good accounting and inventory control practices.
- Support the development of the inventory and asset module of the CRM.
- Collaborate with the engineering and finance teams to procure assets for client systems.
- Coordinate Order-to-Delivery logistics, documenting each step with the correct procedures and paperwork, and communicate delays to the relevant team members. Many team members work remotely within Ontario.
- Work closely with the operations technical support team to coordinate the purchasing, receiving, and shipping of parts, supplies, tools, and equipment, supporting smooth business operations.
- Receive internal requisitions, place orders with suppliers, expedite ETAs, and resolve issues related to parts, documentation, shipping errors, pricing, and invoicing.
- Coordinate with the Service Specialist to ensure adequate planning of material delivery is executed.
- Expedite and manage estimated time of arrival (ETAs) for all orders, including advising appropriate team members of any delays.
- Document deliveries and shipments and provide updates to site inventories.
- Ensure proper packing slip and invoice documentation is received and forwarded to accounting.
- Resolve issues with suppliers relating to parts, documentation, shipping errors, pricing, and invoicing.
- Ensure internal company supplies are distributed effectively and efficiently.
- Verify Envirosearch inventory, including consideration of materials with operators and in the office.
- Track and manage employee clothing and equipment purchases and coordinate with the Payroll Specialist for billing and reimbursement.
- Prepare and maintain a Standard Operating Procedure set to summarize how to complete this position in the absence of the Asset and Inventory Logistics Administrator.
- Other duties as assigned.
Who We Are Looking For
- Post-secondary education in logistics, supply chain, operations or an equivalent related field.
- Experience procuring equipment for Water and Wastewater Treatment Systems is an asset.
- Experience with inventory management systems is an asset.
- Exceptional attention to detail and organizational skills.
- One (1) to two (2) years of experience in an office or similar environment.
- The ability to efficiently multi-task in a fast-paced environment.
- Positive, responsible, and self-motivated with demonstrated problem-solving skills.
- High level of skill with MS Office (Outlook, Excel, Word, D365).
- Must be able to work independently with little supervision and be able to work quickly with high accuracy.
- Confidence in asking questions and clarification on tasks assigned.
- Strong written and verbal communication skills, along with active listening.
- Excellent interpersonal skills with the ability to work with diverse groups of individuals and disciplines.
- A desire to learn and take the initiative to always improve.
