The Operations Logistics Assistant is a highly confidential position, responsible for providing proactive support to the President in managing priorities, ensuring tasks are completed efficiently, and keeping operations on track. It is expected that the successful candidate will learn about existing procedures with Envirosearch in this role and will be working closely with the VP of Business Logistics.
This role is in-person, Monday through Friday, at the Guelph office. This position is being filled following a recent team transition and reflects the continued growth and evolution of our Company.
What You Will Be Doing
- Working with the President, you will:
- Review, prioritize, and handle email correspondence and provide updates on outstanding items and projects.
- Understand and manage priorities, schedule tasks, meetings, conferences, teleconferences, and travel as may be required.
- Proactively communicate with the President to manage time entries and collaborate with the Payroll Specialist on submitting the timesheets.
- Prepare and submit expense reports.
- In collaboration with the Finance Department, create, maintain, and present routine financial reports to the President.
- Draft letters and documents as needed.
- In collaboration with the Licensing & Training Specialist, ensure the President achieves the required 40 hours of training per year.
- Learn necessary processes (e.g., forms, filing systems) to anticipate needs.
- Assist in invoice vetting and verbiage for accuracy and consistency.
- Assist in the maintenance of a clean, organized workspace to aid productivity.
- Work with the President, the Quality Assurance Specialist, and the Manager of Engineering on annual reports and ensure they are completed in a timely manner.
- Ensure projects and special assignments are completed in a timely manner by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans. Provide appropriate status updates to the President.
- Collaborate with other Team Members to organize social events, appreciation nights, and holiday parties.
- Build and maintain strong and confidential relationships with Team Members, clients, and other external third parties and be ready to step in during absences.
- Other duties as assigned.
Who We Are Looking For
- Two to five years of experience in a related role.
- High level of skills with Microsoft Office (Outlook, Excel, Work).
- Diploma in Business Administration, Office Administration or equivalent is considered an asset.
- Strong scheduling and planning skills with the ability to make future projections.
- Must be able to work independently with little supervision and be able to work quickly with high accuracy.
- The ability to maintain strict confidentiality when handling sensitive information, ensuring discretion in all aspects of the role.
- The ability to efficiently multi-task in a fast-paced environment.
- Strong written and verbal communication skills, along with active listening.
- Positive, responsible, and self-motivated with demonstrated organizational skills.
- Valid G driver’s license in good standing.
